Team plansCreate and manage sub-teams
3 min read Updated 05 Jul 2026
Sub-teams split one organisation into groups, each with its own designated manager. They're opt-in: with no teams, your workspace stays flat and nothing changes. Create teams from Team management, add members, appoint a manager and attach projects — managers then see only their own teams while account owners keep the full picture.
Sub-teams group the people in your organisation so each group has its own manager, its own membership and its own slice of the project list. They're strictly opt-in: until you create your first team, your organisation behaves as one flat workspace and nothing in this article applies. Sub-teams are available on the Team plan and above.
Create teams when you have more than one reporting line — two or more managers who each need to run their own people without wading through everyone else's projects. If one person oversees everything, skip teams entirely; a flat workspace is simpler and loses you nothing.
Create a team
- Open Team management in the workspace sidebar.
- Under Create a team, enter a
Team name(for example Development, Delivery, Operations). - Press
Create team.
You'll land on the new team's page. Team names must be unique within your organisation. The moment your first team exists, team scoping applies org-wide — so plan your teams before creating them. A team manager who creates a team becomes its manager and first member automatically.
Assign a team manager
Each team has one designated manager, who administers only that team's people. Only the account owner (or someone with org-wide team visibility) can set or change a manager.
- Open the team from Team management.
- Under Team manager, pick a person from the
Managerdropdown — choosing someone not yet in the team adds them to it as well. - Press
Save manager.
Choose — No manager — and save to clear the role. One person can manage
several teams.
Add members
- On the team's page, under Members, pick a person from
Add a memberand pressAdd. - To take someone out, press
Removenext to their name. Removing the manager also clears the manager role, since a manager must be a member.
People can belong to more than one team. If someone hasn't accepted their
invitation yet, use Pre-assign a pending invite and press Assign — they
join the team automatically on acceptance. Back on Team management,
account owners see a Not in a team list: those members only see
org-wide projects until you place them somewhere.
Attach projects to a team
Once your organisation uses teams, project forms gain a Team field:
- When creating or editing a project, set
Teamto the owning sub-team. - Leave it unset to keep the project org-wide — visible to every team.
Team members only see projects belonging to their own teams, plus anything org-wide, subject to the project's own visibility setting.
Check who sees what
Team scoping works in plain terms like this:
- The account owner always sees every team and every project.
- Anyone with org-wide team visibility (a per-person switch on the members page) sees everything too — turn it on for a head of operations who isn't the owner.
- A team manager administers only the teams they run: their teams' membership, plus learning-progress views scoped to their own people. See team progress for what those dashboards show.
- Everyone else sees the teams they belong to, plus org-wide items.
Archive or restore a team
- On the team's page, press
Archive this teamand confirm. - To bring it back, open Team management and press
Restorenext to it under Archived teams.
Archiving keeps the membership but stops the team applying as a scope, and its projects return to org-wide so nothing silently disappears. Restoring fails if an active team has since taken the same name — rename one first.
Who can do this
Sub-teams need the Team plan or above. The account owner and anyone with org-wide team visibility can create, rename, archive and restore teams, manage any team's members and assign managers. A team manager can create new teams and manage members of the teams they run, but can't archive teams or reassign managers. Everyone else doesn't see Team management at all.

Members, roles and permissions
The Members page is where you invite teammates, assign the role that sets what they can do, watch invite and onboarding status, and archive leavers to free a seat. Invites are single-use email links valid for 14 days; roles range from Manager down to read-only Viewer.
Read the Team progress view and coach from it
Team plansTeam progress is the manager rollup at /team: coaching prompts worth a conversation, every project's latest score, a per-person control and learning summary, and trend charts. Read the prompts first, drill into a person before a 1:1, and send a learning-plan reminder where one is missing.
Delegate responsibilities and track ownership
Team plansOwnership tracks the responsibilities you hand to others and the ones handed to you — each with one owner, an outcome, a standard, constraints and a check-in rhythm. Delegate in six short steps, let the system chase the check-ins, and use reflective reviews to keep, pause or retire each responsibility.
