Members, roles and permissions

The Members page is where you invite teammates, assign the role that sets what they can do, watch invite and onboarding status, and archive leavers to free a seat. Invites are single-use email links valid for 14 days; roles range from Manager down to read-only Viewer.
The Members page is the roster for your organisation: who belongs, what each person is allowed to do, who has been invited but hasn't joined yet, and who has left. Open Members in the sidebar (it sits next to Organisation).
Access is role-based, and each member holds one role. The seeded roles are
Admin (full access), Manager (manage members, projects, billing and
team views across the organisation), Contributor (create and update
projects, delegate and own responsibilities, take assessments and e-learning) and Viewer
(read-only dashboard, though they can still take assessments and
e-learning). Alongside the role, two per-member switches on this page adjust
reach: Let them see all teams / Limit to own teams, and Make account
owner for the people who control billing and other owners.
Invite a member
- Open Members and press
Invite teammate(or scroll to Invite a teammate). - Fill in
Email, and optionallyFirst nameandLast name. - Choose a
Role. If your organisation has sub-teams, you can also pre-assign aTeam. - Leave
Remind them to set a learning planticked if you want the onboarding reminders — one nudge a day after they join, a final one after a week, stopping as soon as they set a plan. Untick it to opt them out. - Press
Send invitation.
Your teammate receives an email with a single-use link valid for 14 days. Following it, they set a password and land in your workspace signed in. If they already have an account, they sign in and confirm the move — moving between organisations changes their role and hides their old organisation's projects, so it's never silent.
Seat limits don't block sending. If you're on a plan without team features
or at your seat cap, the invite still goes out, marked Pending upgrade in
your list — the invitee can't accept until you upgrade or free a seat. See

header shows your current usage (for example 4 of 5 seats).
Resend or revoke an invitation
- Scroll to Pending invitations — each entry shows when it was sent, when it expires, and any pre-assigned role and team.
- Press
Resendto issue a fresh link and email (the old link stops working), orRevoketo cancel the invitation entirely.
Resend is also the fix when the original email failed to send — the invite is saved either way.
Track onboarding reminders
Each active member's row shows their learning-plan status: a
Learning plan set chip once they're done, or the reminder history — which
nudges have been emailed, when the next one is due, or why none will send
(Not enrolled, or paused by an organisation setting or their own opt-out).

Remind them to set a planto enrol one person, orStop remindersto un-enrol them. - If several members aren't enrolled — typically people added before
reminders existed — a banner offers
Enrol everyone in remindersto backfill them in one click.
Archive a member
- Find the person under Active members and press
Archive. - Confirm the prompt.
Archiving blocks their sign-in and frees their seat immediately; everything
they authored is preserved. You can't archive yourself, and you can't
archive the last admin — promote someone else first. Archived members move
to the Archived members list, where Restore brings them back (blocked
while you're at your seat limit — upgrade or archive someone else first).
Who can do this
Viewing the Members page needs the manage-organisation-settings permission — Managers, Admins and the account owner have it; Contributors and Viewers don't. Sending, resending and revoking invitations and toggling onboarding reminders sit with the same group, as do archiving and restoring. The account-owner toggle is owner-only, and an organisation must always keep at least one account owner. Inviting past one seat is fine, but joining, accepting and restoring all respect your plan's seat limit.

Create and manage sub-teams
Team plansSub-teams split one organisation into groups, each with its own designated manager. They're opt-in: with no teams, your workspace stays flat and nothing changes.
